1. Definitions
The following definitions apply throughout this Privacy Policy.
1.1 AI (Artificial Intelligence)
Machine-based systems that generate outputs such as predictions, recommendations, content, or decisions for a given set of human-defined objectives. In this Policy, “AI” includes our large language models, Voice AI, lead scoring algorithms, and automated decision-making systems used within our Platform.
1.2 Child
A natural person under 18 years of age, in accordance with the Protection of Personal Information Act (POPIA).
1.3 Client
Any natural or legal person, including businesses, organisations, or individuals, who enters into an agreement with ZEEDER (Pty) Ltd to use our Platform, AI services, lead generation tools, or business automation products. A Client may also be a Data Subject regarding their own Personal Data but remains the Responsible Party for any third-party Personal Data uploaded or processed through our Platform.
1.4 Data Subject
A natural person whose Personal Data is being Processed.
1.5 Operator
A third party who Processes Personal Data on behalf of ZEEDER (Pty) Ltd.
1.6 Personal Data
Any information relating to an identified or identifiable natural person, as defined under POPIA.
1.7 Platform / System
Our AI SaaS products, lead generation tools, business automation engines, AI voice services, analytical intelligence services, and any third-party integrations made available through our services.
1.8 Processing
Any operation or set of operations performed on Personal Data, including collection, storage, use, disclosure, updating, and deletion.
1.9 Responsible Party
ZEEDER (Pty) Ltd, who determines the purpose and means of Processing Personal Data.
1.10 Third-Party Supplier / Provider
Any external legal entity or natural person that is not ZEEDER (Pty) Ltd, and not the Client, but who provides services, software, APIs, cloud infrastructure, AI models, communication services, payment gateways, CRM integrations, or other technologies that enable our Platform to operate. Where applicable, these providers are bound by written agreements to comply with POPIA.
1.11 We / Us / Our
ZEEDER (Pty) Ltd and any affiliated companies.
1.12 Third-Party Clarification
A Third-Party Supplier or Provider may also act as an Operator under POPIA when Processing Personal Data on our instructions. However, not all Third-Party Suppliers act as Operators, as some process Personal Data as independent Responsible Parties for their own services.

The Data Subject, Client, or website visitor accessing or using our website, Platform, or services.
2. Data Protection Principles
ZEEDER (Pty) Ltd is committed to processing Personal Data lawfully, responsibly, and transparently. In accordance with Section 9 of the Protection of Personal Information Act (POPIA), we adhere to the following eight conditions for lawful Processing:
2.1 Accountability
We accept responsibility for complying with POPIA and ensuring that all Personal Data is processed in accordance with this Privacy Policy.
2.2 Processing Limitation
We collect only the Personal Data necessary to deliver our services and process it lawfully, fairly, and with your consent or another lawful basis where required.
2.3 Purpose Specification
Personal Data is collected only for specific, explicitly defined, and lawful purposes related to our services and business operations.
2.4 Further Processing Limitation
We do not use Personal Data for purposes incompatible with the original reason for collection unless required by law or with your consent.
2.5 Information Quality
We take reasonable steps to ensure that Personal Data remains accurate, complete, relevant, and up to date.
2.6 Openness
We remain transparent about what Personal Data we collect, why we collect it, and how it is used.
2.7 Security Safeguards
Appropriate technical and organisational measures are implemented to protect Personal Data against loss, unauthorised access, misuse, alteration, or disclosure.
2.8 Data Subject Participation
You have the right to access, correct, object to, or request the deletion of your Personal Data in accordance with POPIA.

Where ZEEDER (Pty) Ltd collects Personal Data directly from you, we provide notice at the time of collection in accordance with Section 18 of POPIA.

When collecting Personal Data directly from you, we inform you of:

Where Personal Data is obtained from public sources, lead databases, authorised third-party providers, or integrated platforms, we will provide notice within a reasonable period as required by Section 18(4) of POPIA.

ZEEDER (Pty) Ltd collects and processes only the Personal Data necessary to provide our AI SaaS products, lead generation services, business automation solutions, Voice AI technologies, and analytical intelligence platforms.

Depending on the services you use, we may collect:

ZEEDER (Pty) Ltd does not intentionally collect or process Special Personal Information, including information relating to race, health, religion, biometrics, political beliefs or trade union membership, unless required for a lawful purpose and expressly permitted under POPIA.
5. How We Use Your Personal Data
ZEEDER (Pty) Ltd processes your Personal Data only for lawful, specific, and clearly defined purposes. The information we collect enables us to deliver our AI-powered products and services while improving customer experience, maintaining security, and complying with our legal obligations.
5.1 Delivering Our Services
We use your Personal Data to provide our AI SaaS platform, Voice AI solutions, lead generation services, business automation tools, analytical intelligence, and other products and services offered by ZEEDER (Pty) Ltd.
5.2 Managing Your Account
Your information is used to create and manage your account, process billing, provide customer support, manage subscriptions, and deliver our contracted services.
5.3 Communicating With You
We use your contact information to send service updates, invoices, technical notices, security alerts, appointment confirmations, and to respond to your enquiries or support requests.

We will never use your Personal Data for purposes that are incompatible with the reason it was originally collected unless we notify you and obtain any additional consent required by law.
5.7 Artificial Intelligence, Model Training and Automated Decisions
ZEEDER (Pty) Ltd develops and operates AI systems to deliver automation, Voice AI, lead generation, customer engagement, and business intelligence services.
Where appropriate, Personal Data may be used to improve our AI models using anonymised or pseudonymised information whenever reasonably possible.
If you do not want your information to be used for AI model improvement beyond normal service delivery, you may opt out by contacting privacy@zeeder.ai with the subject line “Opt Out of AI Training.”
Our AI systems operate within defined rules and scripted workflows; however, no Artificial Intelligence system is entirely free from errors or unexpected outcomes.
Some services may involve automated decisions, such as lead scoring, automated responses, or workflow routing. Where required under POPIA, you may request human review of decisions that significantly affect you.
Clients remain responsible for verifying AI-generated outputs before relying on them for business, legal, financial, or operational decisions.
You are solely responsible for ensuring that any information you submit to our AI systems has been lawfully obtained and that you have the necessary authority or consent to provide it.
6. Lawful Basis for Processing
ZEEDER (Pty) Ltd processes Personal Data only where there is a lawful basis to do so in accordance with Section 11 of the Protection of Personal Information Act (POPIA).
We rely on one or more of the following lawful grounds depending on the nature of our relationship with you and the services being provided.
6.1 Consent
Where required by law, we process your Personal Data based on your freely given, specific and informed consent. This includes marketing communications, non-essential cookies, optional data sharing, and AI model training where consent is required. You may withdraw your consent at any time without affecting the lawfulness of Processing carried out before withdrawal.
6.2 Performance of a Contract
We process Personal Data where it is necessary to fulfil our contractual obligations, including providing our AI SaaS platform, Voice AI services, lead generation, automation tools, customer support, billing, onboarding, and ongoing service delivery.
6.3 Legal Obligation
We process Personal Data where required to comply with applicable legislation, including tax regulations, financial reporting obligations, anti-fraud measures, court orders, and other legal requirements imposed under South African law.
6.4 Legitimate Interest
We may process Personal Data where it is necessary for our legitimate business interests, provided those interests do not override your fundamental rights and freedoms. 7. Your Rights as a Data Subject
Under the Protection of Personal Information Act (POPIA), you have several important rights regarding the Personal Data we process about you.

You may request confirmation of whether we hold Personal Data about you and request a copy of that information.
7.2 Right to Correction
You may request that inaccurate, incomplete, misleading, or outdated Personal Data be corrected or updated.
7.3 Right to Deletion
Where there is no lawful basis for continued Processing, you may request that your Personal Data be deleted or destroyed in accordance with POPIA.
7.4 Right to Object
You may object to the Processing of your Personal Data where Processing is based on Legitimate Interest or where your information is used for direct marketing purposes.
7.5 Right to Withdraw Consent
Where Processing is based on your consent, you may withdraw that consent at any time without affecting previous lawful Processing.
7.6 Right to Lodge a Complaint
If you believe your Personal Data has been processed unlawfully, you have the right to lodge a complaint with the Information Regulator of South Africa.

8. Who Else Can Access Your Personal Data
ZEEDER (Pty) Ltd may share Personal Data with trusted third parties where necessary to deliver our services, operate our Platform, comply with legal obligations, or support our business operations. All third parties processing Personal Data on our behalf are required to maintain appropriate security measures and comply with applicable data protection legislation.
8.1 Cloud Infrastructure Providers
We use trusted cloud hosting providers, including Amazon Web Services (AWS), Microsoft Azure, and Google Cloud, to securely host our Platform, applications, databases, and AI infrastructure.
8.2 Communication Service Providers
We work with communication providers such as Twilio and other email, SMS, Voice AI, and messaging platforms to deliver customer communications, appointment reminders, support services, and automated interactions.
8.3 Payment Service Providers
Payments are processed through secure third-party payment gateways. ZEEDER (Pty) Ltd does not store complete payment card information on its systems.
8.4 Analytics Providers
We use analytics tools, including Google Analytics and similar technologies, to understand website usage, improve customer experience, and optimise Platform performance.
8.5 Professional Advisors
Where necessary, Personal Data may be shared with legal advisors, accountants, auditors, insurers, or regulatory authorities in connection with our business operations or legal obligations.
8.6 Third-Party Platform Integrations
Our Platform may integrate with third-party software and services that you authorise or require as part of your implementation.

• ZEEDER acts only as the technical integration layer and does not control how independent third-party providers process your information.
• Information transferred between systems becomes subject to the receiving platform’s own privacy practices.
Although we require our technology partners to maintain security standards equivalent to POPIA or GDPR where appropriate, we cannot guarantee their ongoing compliance.
8.7 Important Restrictions
ZEEDER (Pty) Ltd will never sell your Personal Data.
Mobile numbers, SMS opt-in information, and similar communication preferences will never be sold or shared with third parties for marketing purposes.
Third-party Operators may process Personal Data only for the specific purposes authorised by ZEEDER and under appropriate contractual safeguards.
8.8 International Transfers
Where Personal Data is transferred outside South Africa, ZEEDER ensures that appropriate safeguards are implemented, including contractual protections, recognised adequacy mechanisms, or equivalent legal safeguards required under POPIA.
9. How We Secure Your Data
ZEEDER (Pty) Ltd maintains appropriate technical and organisational security measures to protect Personal Data against accidental loss, unauthorised access, disclosure, alteration, misuse, or destruction.
9.1 Encryption
We protect information transmitted across our Platform using HTTPS encryption and secure Personal Data stored within our infrastructure using industry-standard encryption technologies, including AES-256 where appropriate.
9.2 Access Controls
Access to Personal Data is restricted using role-based permissions, multi-factor authentication, and the principle of least privilege to ensure employees access only the information necessary to perform their duties.
9.3 Security Testing
Our systems are regularly monitored and assessed through vulnerability scanning, penetration testing, software updates, and ongoing security reviews.
9.4 Employee Awareness
Employees receive ongoing training regarding POPIA compliance, information security, confidentiality obligations, and secure handling of Personal Data.

Where required by law, affected individuals and the Information Regulator will be notified of eligible data breaches within the applicable legal timeframes.
While we continuously invest in protecting our systems, no internet-based service or electronic storage solution can ever be guaranteed to be completely secure.
10. Data Retention
ZEEDER (Pty) Ltd retains Personal Data only for as long as necessary to fulfil the purposes described in this Privacy Policy or as required by applicable legislation.
10.1 Retention Periods
Client Account Information
Retained for the duration of the client relationship and for up to three (3) years thereafter to resolve disputes, comply with legal obligations, and maintain business records.
Financial and Invoicing Records
Retained for seven (7) years in accordance with South African tax legislation and accounting requirements.
Marketing Information
Retained until you withdraw your consent or after three (3) years of inactivity, whichever occurs first.
Website Logs and Analytics
System logs, security records, and website analytics are generally retained for up to twelve (12) months unless a longer period is required for security investigations or legal compliance.
Lead Generation Data
Lead information is retained for the period agreed within the applicable service agreement or until deletion is requested where legally permissible.
10.2 Secure Disposal

ZEEDER (Pty) Ltd provides business-focused technology solutions and does not knowingly collect or process Personal Data belonging to children under the age of 18.

14. Our Clients' Use of Our System
ZEEDER (Pty) Ltd provides business technology solutions that enable our Clients to process their own customer, employee, prospect, and business information. Where our Clients upload or process Personal Data using our Platform, they remain responsible for ensuring that such Processing complies with applicable laws.
14.1 Client Responsibilities
If you upload or process Personal Data belonging to third parties through our Platform, you are considered the Responsible Party under POPIA for that information.
You are responsible for:
• Obtaining any required consent or lawful basis for Processing.
• Providing appropriate privacy notices to your own customers, employees, or users.
• Ensuring that the Personal Data uploaded to our Platform is accurate, lawful, and relevant.
• Complying with all applicable privacy and data protection legislation.
ZEEDER processes such Personal Data strictly as an Operator on your documented instructions except where we process information for our own lawful purposes, including billing, security logging, legal compliance, or Platform maintenance.
14.2 Indemnity
You agree to indemnify and hold ZEEDER (Pty) Ltd harmless against any claim, regulatory action, penalty, loss, or damage arising from:
• Your misuse of our Platform.
• Your failure to comply with POPIA or other applicable legislation.
• Personal Data uploaded without an appropriate lawful basis.
• Information supplied by you to our AI systems.
• Decisions made by you or your clients based solely on AI-generated outputs without independent review.
15. Limitation of Liability
To the maximum extent permitted under South African law, ZEEDER (Pty) Ltd provides its Platform and AI technologies on an “as available” basis.
15.1 Artificial Intelligence
Although our AI systems are continually monitored and improved, AI-generated outputs may occasionally contain inaccuracies, omissions, or unintended results.
15.2 Client Content
ZEEDER accepts no responsibility for the legality, quality, accuracy, ownership, or consent status of information uploaded by Clients or their authorised users.
15.3 Automated Decisions
Clients remain responsible for reviewing AI-generated recommendations before relying on them for legal, financial, commercial, employment, healthcare, or other significant decisions.
15.4 Limitation of Liability
To the fullest extent permitted by law, ZEEDER (Pty) Ltd shall not be liable for indirect, incidental, consequential, special, or punitive damages arising from the use of our Platform, AI systems, or related services.
16. Information Regulator
If you believe that ZEEDER (Pty) Ltd has processed your Personal Data unlawfully, you have the right to lodge a complaint with the Information Regulator of South Africa.
